Publish a portal and track activity

Make a portal live, change it once it's live, and see what each guest has viewed and completed.

A portal stays a private draft until someone publishes it. Publishing puts it at its address, /portal/ followed by its URL, for the people you’ve allowed in.

  1. Open the portal in the builder: click Portal in the sidebar, then ⋯ next to it, then Edit.

  2. Check Who can access under Access. See Invite portal guests.

  3. Click Publish.

Portal published under Access now says Live at and the portal’s address. To share it, click ⋯ next to the portal on the Portal page, then Copy link. View opens it the way visitors see it.

Editors can build and save a portal, but Publish is grayed out for them. Ask a Manager or Admin to publish it.

A live portal has no separate draft: changes you save go straight to the people using it.

  • Managers and Admins: make your changes and click Save changes (live).
  • Editors: make your changes and click Submit for review. A Manager or Admin sees your changes in a banner at the top of the builder, and approves or rejects them, with a note. Approved changes go live straight away.

Under Access, switch off Portal published and save. The address stops working until you publish it again. Nothing in the portal is lost.

Admins can delete a portal: click ⋯ next to it, then Delete. This removes the portal, not the content it showed.

Click ⋯ next to the portal, then Guest activity. For each guest you see:

  • their invitation’s status, and when they first signed in (Registered), or Not registered yet;
  • for each training module in the portal, how many items they’ve viewed, and whether they’ve Passed, Failed, are In progress or have Not started.

Who has opened the portal, and how far they've got.

Click Export CSV to download it as a spreadsheet, for example for a client who wants proof their staff were trained.

Guests who pass a module that issues certificates get one, issued under the portal’s Organisation name, which anyone can check. See Certificates and how to verify one.

If a module asks learners to sign that they’ve read it, Guest activity also lists each signature, with when it was made. You can download them as an audit pack for an auditor.
